Poster Information

The December JANNAF Meeting program includes a poster session to be held during the Networking Hour on 9 December in Grand Ballroom G at the Hampton Roads Convention Center. 

 

The following guidance applies to all accepted poster presentations. 

 

Requirements

  • In addition to ensuring a physical copy of your poster is present at the poster session, you are also responsible for:
    • Providing a signed and completed JANNAF Publication Clearance Form for your poster no later than 6 November.
    • Providing a digital (pdf) copy of your poster no later than 20 November.
      This file is for JDOC publication. ERG will not print your poster on your behalf.
  • Unlike presentations in standard technical sessions, papers are optional for poster presentations. Optional papers are due no later than 6 November
  • Posters may not be marked at a more restrictive level than Unclassified and Distribution Statement C or CUI FEDCON.
  • Poster creation is the responsibility of the author and is not available through JANNAF.
  • An active JANNAF Account is needed in order to submit a digital poster, paper, and Publication Clearance Form.

 

Session Details

Location: Grand Ballroom G at the Hampton Roads Convention Center

Set-up Time: Wednesday, 9 December, from 5–5:30 p.m.

Session Time: Wednesday, 9 December, from 5:30–7 p.m.
Presenters must stay beside their poster for the duration of the session.

ERG will store posters securely overnight after the session/Networking Hour, and display them Thursday, 10 December, in Ballroom G from 7 a.m.–12 p.m. Poster authors are not expected to be present with their posters during this display period.

Breakdown Time: Thursday, 10 December, from 12–1:30 p.m.

 

Formatting

  • Orientation can be either landscape or portrait
  • Suggested size: 24 x 36 inches
    Maximum size: 36 x 48 inches
  • Suggested material: foam board
    • Posters can be pinned to blank foam board (available by request only) for presentation.  
    • To request a foam board, email meetings@erg.jhu.edu by 20 November.

Delivery Options

Presenters have three options for transporting posters to the meeting:

 

Print in Hampton

Several printmaking services like FedEx Office Print & Ship, Office Depot, and UPS Store can be found in the Hampton area. If your poster has been approved for public release, you are welcome to have your poster printed at whichever of these locations suits your needs.

Ship to Hampton

Shipping mounted posters is not advised due to the likelihood of damage in transit. Neither the hotel nor ERG is responsible for posters damaged during shipping.

Hand Carry

Posters can be hand carried to the meeting and—if needed—pinned to a blank foam board (available by request only) for presentation.
